10. Payment Policy
To ensure efficient reservation management and fair allocation of our fleet, the following payment terms apply to all services provided by Guyana Luxury Vans.
10.1 Quotations & Pricing
All quotations are provided in United States Dollars (USD) unless otherwise stated.
Quoted rates are valid for 72 hours from the date of issue unless otherwise specified. After the quotation expires, Guyana Luxury Vans reserves the right to revise pricing based on vehicle availability, operational costs, seasonal demand, or other commercial factors.
A reservation is not confirmed until the required payment or deposit has been received, cleared, and confirmed by Guyana Luxury Vans.
10.2 Dynamic Pricing & Peak Demand
Guyana Luxury Vans utilizes a dynamic pricing model based on operational demand and fleet availability. Pricing may vary depending on factors including, but not limited to:
Peak travel seasons;
Public holidays;
Festivals, concerts, conferences, sporting events, weddings, and other special events;
Cruise ship arrivals and airport traffic;
Fleet utilization and vehicle availability;
Booking lead time;
Last-minute reservations;
Extended service hours; and
Extraordinary operational requirements.
During periods of elevated demand or limited vehicle availability, a Peak Demand Surcharge may be applied. Such pricing adjustments are determined at the sole discretion of Guyana Luxury Vans and will be reflected in the quotation or invoice issued prior to confirmation.
Once a reservation has been confirmed and payment has been received, the agreed pricing for that reservation will remain fixed unless the client requests changes to the booking, including but not limited to vehicle type, itinerary, pickup or drop-off locations, passenger count, service duration, or additional services.
10.3 Booking Confirmation, Deposits & Final Payment
A reservation is considered confirmed only after Guyana Luxury Vans has received the required deposit or full payment and issued a booking confirmation.
Payment requirements are as follows:
Bookings Made 30 Days or More Before the Scheduled Service
A minimum 50% deposit is required at the time of booking to secure the reservation.
The remaining 50% balance must be paid no later than 14 days prior to the scheduled service date.
Bookings Made Less Than 14 Days Before the Scheduled Service
Full payment (100%) is required at the time of booking to secure the reservation.
For bookings made between 15 and 29 days before the scheduled service date, Guyana Luxury Vans reserves the right to require either a 50% deposit with the balance due before service or full payment at the time of booking, depending on vehicle availability, booking demand, and the nature of the reservation.
Bookings made during peak travel periods, public holidays, festivals, conferences, weddings, cruise ship arrivals, sporting events, or other periods of high demand may require 100% payment at the time of booking, regardless of the booking date.
Failure to remit payment by the applicable due date may result in automatic cancellation of the reservation without liability to Guyana Luxury Vans. Any applicable cancellation charges outlined in Section 11 shall apply.
10.4 Accepted Payment Methods
We accept major credit cards, debit cards, bank transfers, secure online payment links, and other approved electronic payment methods.
Payments are considered received only after successful processing and confirmation by our financial institution or payment processor.
10.5 Processing Fee
A non-refundable processing fee equal to 2% of the total invoice amount applies to all payments processed through credit cards, debit cards, online payment gateways, payment links, electronic transfers, or other digital payment methods.
The processing fee covers merchant processing charges, banking fees, payment gateway costs, fraud prevention measures, and administrative expenses associated with processing the transaction.
The processing fee is earned upon receipt of payment and is strictly non-refundable under all circumstances, including cancellations, itinerary changes, rescheduling, partial refunds, full refunds, service modifications, or no-shows. Where a refund is approved under these Terms and Conditions, only eligible service charges will be refunded.
10.6 Additional Charges
Additional charges may apply for:
Additional hours beyond the confirmed reservation;
Additional stops or route deviations;
Waiting time exceeding the complimentary allowance;
Toll roads, parking fees, or government-imposed charges;
Vehicle cleaning or damage caused by passengers;
Requests for additional vehicles or upgraded vehicle categories; and
Any other services requested after booking confirmation.
Any additional charges incurred during the service will be invoiced and are payable upon receipt unless otherwise agreed.
10.7 Taxes
Applicable taxes, government levies, and statutory charges will be added where required by law and will be reflected on the quotation or invoice.
10.8 Late Payments
Corporate clients approved for credit terms must remit payment by the due date stated on the invoice.
Guyana Luxury Vans reserves the right to suspend future services, cancel pending reservations, or charge applicable late payment fees or interest permitted by law for overdue accounts.
11. Cancellations & Refunds
At Guyana Luxury Vans, we understand that travel plans may change. To ensure fairness to all clients and to account for vehicle, chauffeur, and operational resource reservations, the following cancellation and refund policy applies to all bookings.
11.1 Cancellation by Client
All cancellation requests must be submitted in writing via email to our reservations team. The effective cancellation date will be the date the written request is received.
Refunds will be issued as follows if cancelled…
More than 30 days before the scheduled service: Eligible for a full refund of all service charges paid, less the non-refundable 2% processing fee.
15 to 29 days before the scheduled service: Eligible for a refund of 50% of the service charges paid, i.e., deposit, less the non-refundable 2% processing fee. The remaining 50% will be retained as a cancellation and administrative fee.
24 hours or fewer before the scheduled service: The full amount of the service charges paid becomes non-refundable.
No-shows: Failure to appear at the agreed pickup location without prior notice will be considered a no-show. No refunds or credits will be issued, and the full booking value will remain payable.
11.2 Processing Fee
A non-refundable processing fee equal to 2% of the total invoice amount applies to all payments processed through credit cards, debit cards, online payment gateways, payment links, electronic transfers, or other digital payment methods.
The processing fee covers merchant processing charges, banking fees, payment gateway costs, fraud prevention measures, and administrative expenses incurred in processing the transaction.

11.3 Reservation Modifications
Requests to modify a confirmed booking, including changes to travel dates, times, vehicle selection, passenger count, pickup or drop-off locations, or itinerary, are subject to availability and may result in additional charges.
Modifications requested within 14 days of the scheduled service may be treated as a cancellation and a new booking at the sole discretion of Guyana Luxury Vans.
11.4 Peak Demand Reservations
Bookings made during peak travel periods, public holidays, festivals, conferences, weddings, cruise ship arrivals, sporting events, or other periods of exceptionally high demand may be subject to stricter cancellation terms as communicated at the time of booking.
Where a booking is identified as a Peak Demand Reservation, any applicable cancellation conditions stated on the quotation, invoice, or booking confirmation shall take precedence over the standard cancellation policy.
11.5 Refund Processing
Approved refunds will be processed using the original payment method whenever possible.
Refund processing times may vary depending on the financial institution or payment provider but are generally completed within 7 to 21 business days after approval.
Guyana Luxury Vans is not responsible for delays caused by banks, card issuers, payment processors, or other third-party financial institutions.
11.6 Cancellation by Guyana Luxury Vans
Should Guyana Luxury Vans be unable to provide the reserved service due to circumstances within our reasonable control, clients will be offered one of the following remedies:
A comparable replacement vehicle, where available;
Rescheduling of the service to a mutually agreed date; or
A refund of service charges paid at the discretion of the company.
Nothing in this section limits either party’s rights where services cannot be provided due to force majeure, government restrictions, natural disasters, severe weather events, or other events beyond the reasonable control of Guyana Luxury Vans.
12. Additional Terms
If Guyana Luxury Vans is unable to contact the passenger or main contact person after 30 minutes of the scheduled pick-up time using the provided reservation information, the ride will be considered a no-show. The reservation will be abandoned, and a no-show charge of 100% of the transfer cost may apply.
Night Rate:
The night rate applies between 11 PM and 6 AM, calculated at 1.5 times the regular rate for all transfers, hourly, or daily rentals.
Day Rate (up to 12 hours):
The day rate consists of up to 12 hours of service between 6 AM and 11 PM. Exceeding 12 hours will incur an additional hourly charge as discussed prior. The night rate will also apply after 11 PM.
Drivers working 12-hour days are entitled to bathroom breaks and either a 1-hour lunch break or two 30-minute breaks during the day, typically occurring while the client is away from the vehicle. This should not affect the client’s journey unless a continuous drive of 12 hours is required.
Should a driver work for 12 hours without a break, an additional charge at the hourly rate of the vehicle rented will be incurred, unless the client provides a meal for the driver at their expense.
An out-of-town charge will apply if the driver is required to leave the initial booking area. Intertown/day rates differ from within-town rates due to increased fuel, labor, and vehicle wear and tear.
Clients must notify the driver/booking agent of the next day’s start time at least 12 hours in advance. For instance, for an 8 AM pick-up on Wednesday, Guyana Luxury Vans must be informed by 8 PM on Tuesday. Otherwise, the timing agreed upon at booking will be used.
There are no refunds for unused time within the 12-hour period, as Guyana Luxury Vans reserves the vehicle for the client, restricting the ability to provide services to others during that timeframe.
Overnight Day Rate (24 hours):
Clients booking a 24-hour day rate are responsible for the driver’s accommodation close to the client’s location or will incur an overnight accommodation charge.
If the driver needs to be available 24 hours, a driver change will be required, incurring a relief driver fee charged to the client.
The same rules outlined under the 12-hour Day Rate section apply.
Out of Hours or Last Minute Bookings:
We strive to provide a 24/7 service and accept last-minute reservations. However, urgent bookings, especially out-of-hours, may incur a Last-Minute Booking Fee.
